1. Introduction
This Privacy Policy explains how The Sports Doc (“we”, “us”, “our”) collects, uses, stores and protects your personal information when you visit our website, contact us, or use our services. We are committed to handling your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. Who we are
The data controller responsible for your personal data is Professor Mohamed A. Imam. You can contact us by email at info@thesportsdoc.co.uk or by telephone on 020 3384 5588 / 0203 393 1849. Data protection enquiries can be sent to the same email address.
3. The information we collect
Depending on how you interact with us, we may collect:
- Contact and enquiry data: name, email address, telephone number, preferred location and the content of your message.
- Appointment and clinical data: information you provide about your symptoms, medical history and care (this is “special category” health data, which receives additional protection).
- Technical data: limited information such as IP address and browser type, only if and when analytics or cookies are introduced. This website does not currently use analytics or non-essential cookies (see section 7).
4. How we use your information and our lawful basis
We use your information to respond to enquiries, arrange and provide care, maintain clinical records, manage payments and insurance where relevant, and meet our legal and regulatory obligations. Our lawful bases under UK GDPR may include:
- Consent (Article 6(1)(a)) — for example, when you submit an enquiry form.
- Contract (Article 6(1)(b)) — to provide services you have requested.
- Legal obligation (Article 6(1)(c)) — for record-keeping and regulatory requirements.
- Legitimate interests (Article 6(1)(f)) — to operate and improve our services.
- For health data, we additionally rely on Article 9(2)(h) (provision of health and social care) and/or your explicit consent.
5. Sharing your information
We do not sell your personal data. We may share information, where appropriate and lawful, with: other healthcare professionals involved in your care (for example, your GP, physiotherapist or a specialist); diagnostic and imaging providers; your medical insurer (where relevant); and trusted service providers who process data on our behalf under contract (for example, IT or secure record-keeping providers). We may also disclose information where required by law or to protect safety. We do not transfer your data to any recipient for marketing purposes.
6. Data storage, security and retention
We take appropriate technical and organisational measures to protect your information. Enquiries submitted through our website contact form are transmitted securely over HTTPS and processed on our behalf by our website hosting and form provider; some of these providers may process data outside the UK under appropriate safeguards. Clinical records are kept securely and retained in line with relevant UK guidance and professional obligations — for adults, typically for a minimum of eight years after the conclusion of treatment.
7. Cookies and analytics
This website does not use non-essential cookies, and does not run third-party analytics or advertising trackers. Web fonts are loaded from Google Fonts to display the site correctly; your browser’s request to that service may be logged by the provider. If we introduce analytics or other non-essential cookies in future, we will update this policy and, where required, provide a consent banner.
8. Your rights
Under UK data protection law, you have rights including: the right to be informed; to access your data; to rectification; to erasure (in certain circumstances); to restrict or object to processing; and to data portability. Where we rely on consent, you can withdraw it at any time. To exercise your rights, contact us using the details above.
9. Complaints
If you have concerns about how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk.
10. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be published on this page with the “last updated” date.
11. Contact us
